Facility Requests for Community Groups
Webster Central School District (WCSD) encourages community use of our facilities when it is in the public interest and does not conflict with school events.
All facility use requests must be submitted online through Follett Software (formerly Master Library Schedules). Please do not submit requests directly to school staff.
Important Rules & Guidelines
- Weather Cancellations: When Webster schools are closed or after-school activities are canceled due to weather, ALL facility rentals (including youth sports practices) are canceled.
- Request Window: Requests must be submitted between 2 weeks and 90 days in advance.
- Approval Time: Please allow up to 3 weeks for approval.
- Fees & Staffing: The hiring of supervisors, sentries, and parking staff is determined by WCSD based on the event. Fees are updated annually on June 1 and are subject to change without notice.
Facility Availability
Any group or individual (e.g., PTSA, recreation departments, scouts, AAU teams, nonprofits, and private organizations) may request space. Please note that availability is limited mid-August through the end of June due to school events and activities.- Available Spaces: Gyms, fields, stadiums/turfs, pools, tracks, tennis courts, baseball/softball diamonds, auditoriums, cafeterias, libraries, classrooms, and parking lots.
- Elementary Schools: Available Monday–Friday, 6:05 PM – 7:30 PM (only on days school is in session).
- Middle & High Schools: Gyms, stadiums, and turfs are not available Monday–Saturday throughout the school year.
How to Request Space (4 Steps)
Step 1: Obtain Insurance Secure a Certificate of Insurance naming WCSD as additionally insured. (Address: WCSD, 119 South Ave., Webster NY 14580).Step 2: Create a Follett Software Account Create your account online. Note: WCSD employees requesting space for a non-school event must use a personal email address.
Step 3: Confirm Account If registration is successful, you will receive an email confirmation from info@follettsoftware.com.
Step 4: Request Space Once your account is approved, log in to submit your facility use request.
