Rep Responsibilities
The School Rep is one of the most important jobs for CAD and is
the "link" between the main committee and the respective
school.
There are 3 main areas of Responsibility: Volunteer Recruitment,
Reflections, and Promotion. If you have more than one person on
your School Rep CAD Committee, you may want to divide up the responsibilities.
School Rep Timeline
December:
Promote Community Arts Day in your school newsletter. (Note: some
schools do a Jan/Feb. newsletter, and content needs to be in early!!!
Contact your PTSA chair to find out who's in charge of the newsletter.)
January:
Attend CAD Meeting
Start recruiting volunteers
Distribute guidelines to art/music teachers about Reflections contest
February:
Attend CAD Meeting
Continue recruiting volunteers
Distribute guidelines to students about Reflections contest
Hang Reflections Posters in school
Promote Community Arts Day in School communications (Spotlights
or Newsletter)
March/April
Attend CAD Meeting
Wrap up volunteer recruitment.
Deliver Reflections entries to Reflections Coordinator as per her
instructions.
Take down Reflections posters.
Put up Community Arts Day Posters.
Distribute "Sneak Preview" document to students.
Deliver Bake Goods to Schoeder HS
Come to Community Arts Day!
Volunteer Recruitment
30 volunteers needed (5-10 of them buy baked goods and 20-25 of them for day-of-event).
Maintain a list/database of the 30 volunteers from your school
- Include:
-School
-Name
-Email Address
-Phone #
-Preferred Shift Time
-Preferred Area
Work with your school's Volunteer Coordinator to recruit the 30
volunteers - contact that person to see if they have any names of
people who have already said they would help with CAD
Enter volunteers at the central volunteer database as www.webstervolunteers.org.
(For Elementary School Reps) In December, you will receive via
email a Volunteer Recruitment Flyer. You will need to insert your
name on the flyer and copy and distribute the flyer in January to
all students via the teacher's mail boxes. Be sure to check the
PTSA mail folder for returned volunteer forms.
The volunteer flyer should also be included in your school's January
newsletter. You can provide a copy to whomever is responsible for
putting together your school's newsletter.
Volunteers may also sign up via the website. The CAD Volunteer Coordinator will make online reports available to you so you can track how many volutneers have signed up from your school.
CAD volunteers should find out their assignment in March. You need to contact your school's CAD volunteers to inform and CONFIRM their assignment for CAD.
Baker volunteers will need to drop off their bake goods the day
before CAD
As of 1/28/2006, we can no longer sell homebaked goods. All items must come from a commercial bakery (such as BJs, Wegmans, etc.)
- Bakers can leave bake goods at main office
-School Rep calls bakers to remind them and ask them to bring their
goodies to the main office before 2:30 on the Friday before Community Arts Day.
-School Rep picks up bake goods at their school after 2:30 and brings
to Shroeder H.S. between 3pm - 5 pm - leave them in the teacher's dining
room next to the Gym
- If the volunteer cannot deliver bake goods to their school, they can drop them
off at the HS.

Please limit the mini muffins, as they were not a big hit last year.

Reflections Contest
Put Reflections Contest Portfolio in main office (Students put
their entries into this portfolio) You will need to get your portfolio
from Nancy Steele, Reflections Coordinator at
the Jan. meeting.
Copy Reflections Contest Guidelines which will be emailed to you
in January and put copies in teacher's mail boxes so they can distribute
to all students
Put up Reflections Contest posters in the
all schools.
Check periodically to ensure that the following information is
on the back of each entry:
- Name
- School
- Grade
- Entry Category
- Phone #
- Entry is mounted
Pick up portfolio/entries on March 15th and bring them to Reflections program coordinator.
Pick up your artwork/portfolio for your school
at 5 pm after CAD in the cafeteria near the library.
Promotion
Hang up CAD posters around school (posters supplied by Main CAD
Committee - given out at Feb. meeting)
Submit a CAD Save The Date promotional
announcement in the Feb. and March school newsletters (The promotion
will be emailed to you in December
by CAD chairperson)
Copy and distribute Sneak Preview of Performing Artists 1-2 weeks
before CAD (This will also be emailed to you.) Put copies in teacher's
mail boxes at Elementary schools so they can distribute to their
students.
Email school principal to keep him/her in the loop -
also talk with secretary
