Community Arts Day was created as a joint venture from every school
to raise money to encourage and enhance Cultural Arts in the Webster
schools, but more importantly, to showcase our children's creative
talent and artwork and involve the whole community in a day to celebrate
Cultural Arts. Proceeds from this annual event are evenly distributed
to each of the eleven schools. Each school must have at least 3
representatives on the CAD committee, as well as, 30 volunteers
(5 can be bakers for bake sale) in order to receive the proceeds.
Every year at Community Arts Day our biggest spotlight shines on
the talents of the Webster children. With the tremendous effort
of our CAD organizing committee, teachers, parents, students and
lots of volunteers, Community Arts Day is an event the entire community
looks forward to. Community Arts Day was nominated and won the National
PTSA Parent Involvement Award. All of our lives are busy so we appreciate
the extra effort on your part to commit. Your children's Cultural
Arts experience will benefit from your involvement.

The following is a brief overview of the many responsibilities
of our CAD organizing committee. All areas must be setup by 9AM
on the day of CAD.
Chairperson - To oversee the planning of Community Arts
Day; by planning 3 to 4 organizational meetings with all the Committee
chairs, set date each year, coordinate plans with school district
staff, secure volunteers for committee positions and act as general
overseer.
Treasurer - Keep track of income and expenses up to and
on CAD.
Financial reports done for organizational meetings, start-up money
issued as needed and money collected and counted throughout the
day of CAD and deposited.
Bake Sale - Price bake goods donated by each school the
afternoon before CAD. Secure volunteers needed for each shift on
CAD. Make signs.
Carnival - Order booths, games and prizes from Fun Services.
Secure volunteers needed for each shift on CAD. Set up and inventory
prizes the evening before CAD. Make signs for games and ticket booths.
Community Groups - Send out letters to a variety of community
groups to advertise or sell their product i.e., Nursery Schools,
Toy Stores, Church groups, Police, Boy/Girl Scout, Marching Band,
Teachers Association. Most of the organization is done before CAD,
but locations have to be marked by signs the day before CAD.
Concessions - Organize concession stand and Beverage carts. Order snacks, popcorn machine, and beverages. Coordinate volunteers. Make sure pop cans are washed and all other utensils, pans etc. are cleaned and put away.
Face Painting - Purchase necessary supplies for face painting.
Secure volunteers needed for each shift on CAD. Set up of tables
and chairs required day before CAD.
Facilities - Organize and set up areas that require tables,
chairs, music stands, AV equipment from Facilities Request forms
within the High School for every performing group, community group
and CAD organizing committee. Work closely with district staff members
to coordinate the set up of CAD the day before and general overseer
with Chairperson(s) on day of CAD. Make a Facilities map to be used
by Custodial Staff.
Hospitality - Contact local businesses to donate Bagels,
doughnuts, coffee, etc for our many volunteers throughout the day
of CAD. Work with lunch staff.
Hostess Table - Direct people to various performances, sign
in all volunteers, pass out maps and performing arts schedules throughout
the day of CAD .Someone MUST be at the table by 8AM to aid in giving
directions and information during setup.
Jumbo Flowers/Spin Art - Order appropriate supplies. Secure volunteers
for each shift.
Lunch - Organize lunch, lunch menu, order food and beverages.
Secure volunteers needed for each shift on CAD. Make sure pop cans
are washed and all other utensils, pans etc. are cleaned and put
away.
Performing Artists - Contact performers through our schools
and community, schedule each considering time and location, and
send out confirmation. Secure any volunteers needed. Be available
to assist in setup of each group in each area on CAD.
Photographer - Take digital photographs the day of the event.
Plant Sale - Purchase various plants (depending on time
of year) and sell at CAD. Secure volunteers to help on each shift
on CAD.
Publicity - Submit newspaper articles to school newsletters
and local newspapers, community calendars to radio, TV and all area
newspapers.
Reflections Coordinator - To get the annual theme for each
year's competition. Make up flyer announcing and explaining the
competition and distribute to each school building. Work and assist
each reflection committee chair wherever needed.
Reflections
Drawing, Music, Literary, Photo - Send letter to respective teachers
explaining the competition and encouraging students to participate.
Secure judges for each area. Work with school CAD Rep to get artwork
judged. Secure volunteers to help the day before CAD getting artwork
labeled, awards put on, and displayed at WHS. Run award ceremony
in Auditorium. Take down artwork after CAD and return to respective
schools.
Sand Art/Candy Art - Work with Carnival chairs to order sand containers
and colored sand. It is important to be present when shipment comes
in on Friday to verify all items are there and to price the containers.
Make signs. Secure volunteers to help on each shift on CAD.
School Reps - Responsible for copying and distributing various
flyers to their school. - Volunteer Flyer to school paper in January,
Reflection Contest information, and Sneak Preview in March. Secure
the 20 volunteers for your school and those that will bake. Arrange
for bake goods to come to their school where Rep will transport
them to the High School. Pickup artwork for the Reflections competition
and give to proper chairperson. Work with Volunteer Coordinator
making calls to your school volunteers 1-2 weeks before CAD.
Visual Artists - Send out letters for area artists to demonstrate
and sell their crafts. Mark off each spot in the cafeteria (include
2 chairs) in each space on the afternoon before CAD.
Volunteer Coordinator - Work with each committee chair to
secure volunteers. Contact WHS and community Clubs to gather volunteers.
Make sure every shift for every activity is filled. Many phone calls.
Wrap-up Dinner - Organize and setup final dinner meeting
for all committee chairs and school reps. Generally is a "Pot
luck" dinner everyone brings a dish according to invitation
request. CAD covers paper products, beverages.
